Total amount awarded to the Wroclaw University of Environmental and Life Sciences (UPWr): EUR 407 625, of which EUR 164 160 for student mobility for studies (SMS).
Who can apply for an SMS scholarship within Erasmus+ KA103 project?
Students enrolled in the first and second cycles of studies (at bachelor’s and master’s levels, irrespective of the mode of study) and also PhD students provided that their Mobility Credit has not been exhausted. The students enrolled in the first level of studies (Bachelor’s level) can start the SMS mobility after successful completion of the first year of studies. However, they can start the Application procedure after successful completion of the first semester.
The rules of student mobility for studies - SMS
- The student cannot choose a country of destination being his/her country of origin;
- The Mobility Capital of a student at one level of study (bachelor’s and master’s) is 12 months (one month = 30 days), including both the mobility for placements and the mobility for studies.
- If the student has already participated in Lifelong Learning Programme Erasmus (LLP), Erasmus Mundus or another Erasmus+ project, the period of this mobility is deducted from his/her mobility capital. Both study and placement/training mobility will be taken into account.
- The total Mobility Capital (including studies and placements/traineeships) for Veterinary students (uniform master’s degree studies) is 24 months (one month = 30 days);
- Eligible duration of a student mobility for studies, including a mobility for traineeship/placement is from three (3) to twelve (12) months (1 month = 30 days);
- The amount of the Erasmus grant is calculated and the management of the project is performed using the Mobility Tool by a responsible person in the International Relations Office who uploads the data before the student’s departure, taking into account the country of destination and also the start and end dates of the mobility as indicated in the Grant Agreement signed by the student and the responsible person and later confirmed in the Certificate of Attendance obtained by the participant from the host institution and filed at the International Relations Office. The Certificate of Attendance must be printed and signed by a responsible person on the official paper of the host institution and it must indicate the start and end dates of the student’s mobility.
- Minimum duration of a student mobility for studies is 90 days;
- If the participant terminates the mobility before the end date indicated in the Grant Agreement, he/she will have to refund part of the grant already paid (this applies to mobility activities not shorter than 90 days);
- When the participant has been prevented from completing his/her mobility activities and terminates the mobility for studies before 90 days from its start date due to “force majeure”, he/she shall be entitled to receive the amount of the grant corresponding to the actual duration of the mobility as defined by the National Agency which has to be informed in details about the circumstances by the International Relations Office after earlier collection of the documents submitted by the participant. Such cases shall be reported by our university to the National Agency.
- The financial consequences shall not apply if the difference between the start and end dates of the mobility for studies does not exceed 5 days (the so called principle of financial flexibility shall apply). If the difference is 5 days or shorter than 5 days, the beneficiary (UPWr) will not change the dates initially indicated in the Mobility Tool Erasmus+ and the scholarship will remain unchanged;

Administrative procedures – step by step
I.Recruitment – documents and procedures:
- The students must go through our on-line registration system during the recruitment period. The Application Form must be completed with the student’s personal data. It is also recommended to select more than one university from the list of our partner institutions (max. choice is three partner universities). The completed Application Form must be printed and presented in the Dean’s Office, where a person in charge will put the average grade(s) of the student recorded to the date and sign the document.
- The completed and duly signed Application Form must be filed in the International Relations Office (Erasmus+ Office) together with the following documents:
- International Language Certificate or confirmation of foreign language competences (English or national language of the country of destination) after passing the exam at our university. In case the student does not have a language certificate and has not yet had a chance to sit an exam at our university, he/she will be interviewed by language teachers at the Centre for Foreign Languages, Humanities and Social Sciences at our university who will assess and grade language competences of the applicant student;
- Statements, Certificates or Diplomas confirming the student’s organizational, voluntary, sports or scientific activities - this applies only to the students who can prove any extra activities and achievements during the studies.

II. Student’s acceptance for the mobility for studies (SMS)
When the student has been accepted for the mobility, he/she is obliged to complete the following documents, which must be filed by the responsible person in the International Relations Office:
- Application Form of the receiving institution;
- Learning Agreement which must be signed by the student and Vice-Dean at our university and next sent via email to the receiving institution for approval and signing by the responsible person;
- Recognition Sheet which must be signed by the Vice-Dean responsible for academic recognition of the study period abroad;
The student takes his/her responsibility for finding suitable accommodation in the destination place. If accommodation is not offered by the receiving institution on its website, or the offer is unsatisfactory, the student will have to browse other websites.
III. Grant Agreement for Erasmus+ scholarship
The participant is entitled to receive the Erasmus Grant (scholarship) after he/she signs the Grant Agreement in the International Relations Office (Erasmus+ Office). This must be done at least 2 (two) weeks before the student’s departure. The Grant Agreement can be signed providing that the following documents have been filed at the International Relations Office:
- Learning Agreement (signed by the student, Vice-Dean at our university and the responsible person at the receiving university);
- Recognition Sheet signed by the Vice Dean responsible for recognition of the study period abroad;
- Insurance Policy – minimum requirement is Health and Accident Insurance valid for the entire mobility period. Liability insurance is also recommended.
The student is obliged to complete the online Language Assessment Test I on OLS platform before the mobility.

Recognition sheet
- A scanned copy of the Letter of Arrival must be sent to the International Relations Office via email to: anna.posadowska-malarz@upwr.edu.pl not later than two weeks after the student’s arrival at the host institution. This document indicating the date of student’s arrival must be signed and stamped by a responsible person at the host institution;
- Changes to the Learning Agreement are possible within one month from the start date of the semester at the host institution. This part of the Learning Agreement must be signed by the participant and approved/signed by the Vice-Dean responsible for recognition of the study period abroad at our university and also by the responsible person at the host institution. A scanned copy of the Changes to the Learning Agreement containing relevant signatures and stamps must be filed at the International Relations Office (anna.posadowska-malarz@upwr.edu.pl).
The student must submit the following documents to the International Relations Office:
- Certificate of Attendance – not later than two weeks after the mobility. The start and end dates of the mobility period indicated in this document should be the same as those indicated in the Mobility Tool and the Grant Agreement signed by the participant before the mobility. This document must be duly signed and stamped by the responsible person at the host institution. If the duration of the mobility period is shorter than 5 days as compared to the period initially incorporated in the Mobility Tool and indicated in the Grant Agreement, the participant will have to refund part of the grant already paid (this applies to mobility activities not shorter than 90 days);
- Transcript of Records - not later than one month after the mobility. The original version has to be filed in the Dean’s Office and its copy at the International Relations Office.
- Student’ s Card of his/her most recent Learning Outcomes recognized after the mobility - not later than one month after the mobility.
The participant is also obliged to:
- Complete the onlineEU Survey – not later than 30 days after the end of the mobility period;
- Complete Language Assessment Test II on OLS platform.
IMPORTANT:
As soon as the participant completes all the procedures required after the mobility, he/she can apply to the Dean for compensation of the travel costs (see Article 6 of the Mobility Regulations). The tickets must be provided.
