Recruitment

The recruitment for student placements/traineeships within the Erasmus+ KA131 project is an ongoing process and will be carried out until the places and funds are available.

Who can apply for a placement/traineeship within  the Erasmus+ KA131 project?

  • Students enrolled in the first and second level of studies (bachelor’s and master’s levels) and also uniform one-level studies (Veterinary students;
  • PhD students currently enrolled at our university providing that their Mobility Credit has not been exhausted;
  • Recent graduates (no longer than 12 months after completion of the studies,  defense of Master thesis or after the graduation date (Veterinary students).

Each student/trainee must be enrolled at the Wroclaw University of Environmental and Life Sciences both before and after  the mobility. The status of the student cannot be changed during the mobility.

The applicants for a placement/traineeship for recent graduates must have a status of a student (currently enrolled) during the recruitment process. The mobility is possible after successful completion of the studies.

The traineeship programme (Learning Agreement for Traineeships) must be in line with the student’s field of study. This means that the placement/traineeship will  guarantee the student an opportunity to improve his/her professional competences and practical skills in a given field of study during the traineeship period.

 

The rules of student mobility for placements/traineeships (SMP)

The Mobility Capital to which a student is entitled at one level of study (Bachelor/Master), including the mobility for studies and traineeships is 12 months (one month = 30 days). 

If the student has already participated in Lifelong Learning Programme Erasmus (LLP), Erasmus Mundus or another Erasmus+ project, the period of this mobility is deducted from his/her mobility capital. Both study and placement/training mobility will be taken into account.

  • The total Mobility Capital (including studies and placements/traineeships) for Veterinary students (uniform master’s degree studies) is 24 months (one month = 30 days);
  • Eligible duration of a student mobility for placements/traineeships is from two (2) to twelve (12) months (1 month = 30 days);
  • The amount of the Erasmus grant is calculated and the management of the project is performed using the Mobility Tool by a responsible person in the International Relations Office who uploads the data before the student’s departure, taking into account the country of destination and also the start and end dates of the mobility as indicated in the Grant Agreement signed by the student and the responsible person. The dates must be confirmed in the Certificate of Attendance obtained by the student from the host institution and filed by the responsible person in the International Relations Office. The Certificate of Attendance must be printed and signed by a responsible person at the host institution on its official paper and it must indicate the start and end dates of the student’s placement. 
  • Minimum duration of a student mobility for placement/traineeship is 60 days;
  • If the participant terminates the mobility before the end date indicated in the Grant Agreement, he/she will have to refund part of the grant already paid (this applies to mobility activities not shorter than 60 days);
  • When the participant has been prevented from completing his/her mobility activities and terminates the mobility before 60 days from its start date due to “force majeure”, he/she shall be entitled to receive the amount of the grant corresponding to the actual duration of the mobility period as defined by the National Agency which has to be informed in detail about the circumstances by the International Relations Office after earlier collection of the documents submitted by the participant. Such cases shall be reported by our university and accepted by the National Agency.
  • The financial consequences shall not apply if the difference between the start and end dates of the mobility does not exceed 5 days (the so called principle of financial flexibility shall apply). If the difference is 5 days or shorter than 5 days, the beneficiary (UPWr) will not change the dates initially indicated in the Mobility Tool Erasmus+ and the scholarship will remain unchanged;
  • The Erasmus+ scholarship depends on the country of destination. You can see the amounts in EUR currency HERE.

Erasmus+ traineeship/placement can be part of the student’s mandatory study programme or non-mandatory/optional programme. It is also applicable to recent graduates. Academic recognition of the Erasmus+ mandatory traineeship period depends on the decision of the departmental supervisor for practical placements at our university. The traineeship period can be indicated in the Diploma Supplement – the participant must inform the Dean’s Office about such a request in due time.

  

Administrative procedures – step by step

I. Recruitment – documents and procedures:

The students must send the following documents to the responsible person in the International Relations Office (Erasmus+ Office):

  • Application Form containing the approval (signature and the stamp) of a Vice-Dean and also the average grade(s) recorded to the date, signed and stamped by a staff member in the Dean’s office;
  • International Language Certificate or confirmation of foreign language competences (English or national language of the country of destination) after passing the exam at our university;
  • A Letter of Intent from the host institution confirming that the institution agrees to accept the student for a placement;
  • A statement from the Dean’s Office confirming enrolment of the student at the Wroclaw University of Environmental and Life Sciences (UPWr).

II. Student’s acceptance for the mobility for placements/traineeships (SMP)– documents and procedures:

Each student receives the information about his/her acceptance for the mobility and the Erasmus grant via email from the International Relations Office.

After receiving the information, the student has to complete the Learning Agreement for Traineeships – before the mobility

The completed document must be signed by the Applicant student and Vice-Dean or in case of a PhD student by his/her supervisor. Next, a duly signed document has to be sent via email to the receiving (host) institution for signing by the person responsible (mentor or supervisor) for the training programme of the Applicant.

IMPORTANT!

The trainee is responsible for travel arrangements and accommodation in the place of destination. The receiving institution often helps students with their accommodation. The participant can also ask the Erasmus Office staff at our university for help with finding accommodation.   

III. Grant Agreement between the university and the trainee

Before the mobility - Documents and procedures:

The Grant Agreement for Erasmus+ Mobility must be signed by the trainee in the International Relations Office (Erasmus Office) at least two weeks before departure, after submitting the following documents:

  1. Learning Agreement – Before the Mobility part duly signed by the three parties – the student, Vice-Dean and the responsible person representing the host institution;
  2. Confirmation of completion of the studies/a copy of the Diploma – this applies to recent graduates;
  3. Insurance Policy – minimum requirement is Health and Accident Insurance valid for the entire mobility period. Liability insurance is also recommended.

    Letter of intent

The trainee must send a scanned copy of the Letter of Arrival via email to kamila.majchrzak@upwr.edu.pl not later than two weeks after the arrival at the host institution.

The Letter of Arrival must be signed and stamped by the responsible person at the host institution.

The participant is obliged to go through the following procedures in order to successfully finalize the mobility for placements/traineeships:

  1. Submit the Certificate of Attendance - Learning Agreement – After the Mobility part in the Erasmus+ Office at our university. The start and end dates of the mobility period indicated in this document should be the same as those indicated in the Mobility Tool and Grant Agreement signed by the trainee before the mobility. This document must be duly signed and stamped by the responsible person at the host institution.
  2. If the participant terminates the mobility before the end date indicated in the Grant Agreement, he/she will have to refund part of the grant already paid (this applies to mobilities longer than 60 days);
  3. When the participant has been prevented from completing his/her mobility activities and terminates the mobility before 60 days from its start date due to “force majeure”, he/she shall be entitled to receive the amount of the grant corresponding to the actual duration of the mobility as defined by the National Agency which has to be informed in details about the circumstances by the International Relations Office after earlier collection of the documents submitted by the participant. Such cases shall be reported by our university and accepted by the National Agency.
  4. The financial consequences shall not apply if the difference between the start and end dates of the mobility does not exceed 5 days (the so called principle of financial flexibility shall apply). If the difference is 5 days or shorter than 5 days, the beneficiary (UPWr) will not change the dates initially indicated in the Mobility Tool Erasmus+ and the scholarship will remain unchanged;
  5. Complete the online EU Survey – not later than 30 days after the end of the mobility period;
  6. Complete the final part of the online language assessment test on OLS Erasmus+ platform;
  7. Complete the Form „Results of the traineeship” – this applies to placements for PhD students;

IMPORTANT

As soon as the student completes all the administrative procedures in the Erasmus Office after the mobility, he/she can apply to the Dean for compensation of travel costs (see Article 6 of the Mobility Regulations). The tickets must be provided by the participant. Compensation of travel expenses does not apply to recent graduates.
